Acceptable Use Policy

1. Introduction

This Acceptable Use Policy ("AUP") governs your use of AiSync.Team's collaboration platform and services (the "Services"). This policy is part of our Terms of Service and applies to all users, including workspace owners, administrators, members, and guests.

The purpose of this AUP is to protect our users, our platform, and the broader internet community from irresponsible or illegal activities. By using our Services, you agree to comply with this policy.

Violation of this policy may result in suspension or termination of your account without notice.

2. General Principles

When using AiSync.Team, you agree to:

  • Act Lawfully: Comply with all applicable local, state, national, and international laws and regulations
  • Respect Others: Treat all users with respect and dignity
  • Be Honest: Provide accurate information and act in good faith
  • Maintain Security: Protect your account credentials and respect platform security measures
  • Use Responsibly: Use the Services for their intended business and collaboration purposes
  • Respect Rights: Honor intellectual property rights, privacy rights, and other legal rights of others

3. Prohibited Activities

The following activities are strictly prohibited when using our Services:

3.1 Illegal Activities

You may not use our Services to:

  • Engage in any illegal activity or promote illegal activities
  • Violate any applicable laws, regulations, or ordinances
  • Facilitate, encourage, or provide instructions for illegal activities
  • Violate export control laws or economic sanctions
  • Engage in fraud, money laundering, or financial crimes
  • Traffic in controlled substances, weapons, or illegal goods
  • Engage in or promote human trafficking, exploitation, or abuse

3.2 Harmful or Abusive Content

You may not transmit, upload, or share content that:

  • Contains hate speech, discrimination, or promotes violence against individuals or groups based on race, ethnicity, religion, gender, sexual orientation, disability, or other protected characteristics
  • Harasses, bullies, threatens, intimidates, or stalks others
  • Contains graphic violence, gore, or disturbing content intended to shock or disgust
  • Promotes self-harm, suicide, or eating disorders
  • Contains child sexual abuse material (CSAM) or exploits minors in any way
  • Is sexually explicit, pornographic, or obscene (except in limited contexts where legally permitted and clearly labeled)
  • Promotes terrorism or violent extremism
  • Glorifies or encourages dangerous activities that could lead to serious physical harm

3.3 Fraud and Deception

You may not:

  • Impersonate any person or entity, or falsely claim an affiliation with any person or organization
  • Misrepresent the source, identity, or content of information transmitted through the Services
  • Engage in phishing, social engineering, or other deceptive practices to obtain sensitive information
  • Create fake or misleading accounts, workspaces, or profiles
  • Manipulate identifiers (such as email addresses) to disguise the origin of content
  • Spread misinformation, disinformation, or deliberately false content that could cause harm

3.4 Spam and Unsolicited Communications

You may not:

  • Send unsolicited bulk messages, spam, or commercial communications
  • Harvest, scrape, or collect email addresses or other user information without consent
  • Use the Services for mass email marketing or promotional campaigns without proper authorization
  • Transmit chain letters, pyramid schemes, or similar content
  • Repeatedly send unwanted messages to users who have requested you to stop

3.5 Intellectual Property Violations

You may not:

  • Upload, share, or distribute content that infringes on copyrights, trademarks, patents, trade secrets, or other intellectual property rights
  • Share pirated software, media, or other copyrighted materials
  • Circumvent digital rights management (DRM) or technological protection measures
  • Misappropriate trade secrets or confidential information

3.6 Security and System Integrity

You may not:

  • Attempt to gain unauthorized access to our Services, systems, networks, or user accounts
  • Circumvent, disable, or interfere with security features or access controls
  • Use automated tools (bots, scripts, crawlers) to access the Services without express permission
  • Probe, scan, or test the vulnerability of our systems or networks
  • Transmit viruses, malware, ransomware, trojans, or other malicious code
  • Launch denial-of-service (DoS) or distributed denial-of-service (DDoS) attacks
  • Attempt to reverse engineer, decompile, or disassemble our software
  • Interfere with or disrupt the integrity or performance of the Services
  • Bypass rate limits (120 messages/minute per connection) or other usage restrictions

3.7 Privacy Violations

You may not:

  • Violate the privacy rights of others
  • Share private or confidential information without authorization
  • Doxx others (publish private personal information without consent)
  • Secretly record or monitor communications without proper consent
  • Access or use another user's account without permission

3.8 Competitive or Commercial Misuse

You may not:

  • Use the Services to develop, train, or improve competing products or services
  • Resell, rent, lease, or sublicense access to the Services without authorization
  • Frame or mirror the Services on another website
  • Remove, obscure, or alter any copyright, trademark, or proprietary notices
  • Benchmark the Services for competitive purposes without written permission

4. Workspace Owner Responsibilities

If you are a Workspace Owner or Administrator, you have additional responsibilities:

4.1 Content Moderation

  • Monitor workspace activity to ensure compliance with this AUP
  • Establish and enforce workspace-specific usage policies
  • Address violations promptly when they are reported or discovered
  • Educate workspace members about acceptable use expectations

4.2 Member Management

  • Verify that members have legitimate business reasons to access the workspace
  • Revoke access for members who violate workspace policies
  • Ensure proper role assignments (Owner, Admin, Member, Guest) based on legitimate needs
  • Protect sensitive workspace information through appropriate access controls

4.3 Legal Compliance

  • Ensure workspace usage complies with applicable laws and regulations
  • Obtain necessary consents for data processing and communications
  • Respond to legal requests (subpoenas, court orders) in coordination with AiSync.Team
  • Maintain proper data retention and deletion practices

4.4 Liability

Workspace Owners are responsible for the actions of their workspace members and may be held accountable for violations of this AUP that occur within their workspaces.

5. Content Guidelines

5.1 Professional Communication

AiSync.Team is designed for professional and business collaboration. We expect users to:

  • Maintain a professional and respectful tone in communications
  • Use appropriate language for a workplace environment
  • Avoid excessive profanity, vulgarity, or offensive language
  • Respect cultural differences and diverse perspectives

5.2 File Sharing

When sharing files through the Services:

  • Ensure you have the right to share the content
  • Do not share files containing malware or viruses
  • Respect file size limits and storage quotas
  • Do not use the Services as a file hosting or backup service for non-collaboration purposes
  • Label sensitive or confidential files appropriately

5.3 API and Integration Usage

If you use our API or integrate third-party services:

  • Comply with API documentation and rate limits
  • Secure API keys and authentication credentials
  • Do not build applications that violate this AUP
  • Respect the privacy and security of user data accessed via API

6. Reporting Violations

If you become aware of conduct or content that violates this Acceptable Use Policy, please report it to us immediately.

6.1 How to Report

6.2 What to Include in Your Report

When reporting a violation, please provide:

  • Your contact information (name and email)
  • Description of the violation
  • Links or screenshots of the violating content (if applicable)
  • Username, workspace, or channel where the violation occurred
  • Date and time of the violation
  • Any additional context that may help our investigation

6.3 Investigation and Response

Upon receiving a report, we will:

  • Acknowledge receipt of your report within 2 business days
  • Investigate the reported violation
  • Take appropriate action based on our findings
  • Notify you of the outcome (where appropriate and legally permissible)

We take all reports seriously and investigate them thoroughly. However, we reserve the right to determine, in our sole discretion, whether a violation has occurred.

7. Enforcement and Consequences

We reserve the right to enforce this AUP at our sole discretion. Violations may result in one or more of the following actions:

7.1 Warning

For minor or first-time violations, we may issue a warning and request that you cease the violating conduct.

7.2 Content Removal

We may remove, disable access to, or refuse to display content that violates this AUP.

7.3 Feature Restrictions

We may temporarily or permanently restrict your access to certain features (e.g., messaging, file sharing, API access).

7.4 Account Suspension

We may temporarily suspend your account while we investigate a reported violation.

7.5 Account Termination

We may permanently terminate your account for:

  • Serious violations (illegal activities, child exploitation, terrorism)
  • Repeated violations after warnings
  • Circumventing enforcement measures
  • Creating new accounts to evade restrictions

7.6 Legal Action

For serious violations, we may:

  • Report illegal activities to law enforcement authorities
  • Cooperate with law enforcement investigations
  • Preserve evidence for legal proceedings
  • Pursue civil remedies for damages

7.7 No Refunds

If your account is suspended or terminated for violating this AUP, you will not be entitled to a refund of any fees paid.

8. Appeals

If you believe we have made an error in enforcing this AUP, you may appeal our decision:

8.1 How to Appeal

Send an appeal to appeals@aisync.team within 30 days of the enforcement action.

8.2 Appeal Information

Include the following in your appeal:

  • Your account information
  • Description of the enforcement action
  • Explanation of why you believe the action was in error
  • Any supporting evidence or documentation

8.3 Appeal Review

We will review your appeal and respond within 15 business days. Our decision on appeals is final.

9. Cooperation with Law Enforcement

We cooperate with law enforcement agencies to combat illegal activity on our platform. We may disclose user information to law enforcement in response to:

  • Valid legal process (subpoenas, court orders, search warrants)
  • Emergency situations involving imminent danger
  • National security or public safety concerns
  • Child exploitation or abuse

We will notify affected users of law enforcement requests unless legally prohibited from doing so.

10. Child Sexual Abuse Material (CSAM)

AiSync.Team has zero tolerance for child sexual abuse material (CSAM). We comply with all applicable laws regarding the reporting of CSAM, including:

  • Reporting suspected CSAM to the National Center for Missing & Exploited Children (NCMEC) in the United States
  • Reporting to relevant authorities in other jurisdictions
  • Immediately removing CSAM content and terminating offending accounts
  • Preserving evidence for law enforcement investigations

If you encounter CSAM on our platform, report it immediately to safety@aisync.team or contact NCMEC directly at CyberTipline.

11. Modifications to This Policy

We may update this Acceptable Use Policy from time to time to reflect changes in legal requirements, industry best practices, or our Services. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this policy
  • Notify users via email or through the Services
  • Provide reasonable notice before changes take effect

Your continued use of the Services after policy changes take effect constitutes acceptance of the updated policy.
